Month-End Close Best Practices for Philippine SMEs
A clean, timely month-end close gives management the financial visibility they need to make good decisions. Here are the best practices CBSI recommends to Philippine SMEs for a faster, more accurate close.
Many Philippine SMEs complete their month-end close weeks after the period ends — sometimes not until the following month. By that point, the financial information is too stale to be useful for decision-making, and the business is essentially flying blind. A disciplined close process can compress this timeline to five to seven business days without sacrificing accuracy.
The foundation of a fast close is a well-maintained chart of accounts and consistent coding discipline throughout the month. When transactions are coded correctly as they are entered, the close process is largely a matter of review and reconciliation rather than correction and reclassification.
Bank reconciliation should be completed within the first two business days of the following month. Unreconciled items are a leading indicator of errors or fraud, and the longer they remain unresolved, the harder they are to investigate. CBSI recommends daily bank feed imports for businesses using cloud accounting — this makes the month-end reconciliation a five-minute review rather than a multi-hour exercise.
Accounts receivable ageing should be reviewed and updated at month-end. Overdue receivables that are unlikely to be collected should be provisioned for, and the collections team should have a clear picture of what is outstanding before the new month begins.
Accruals are often the most time-consuming part of the close. Recurring accruals — rent, utilities, salaries, and loan interest — should be templated in your accounting system so they can be posted with a single review rather than rebuilt from scratch each month. Non-recurring accruals require judgment, but a standard checklist ensures nothing is missed.
The close should culminate in a management report package — at minimum a profit and loss statement, balance sheet, and cash flow statement — with a brief narrative from the finance team explaining significant variances from budget or prior period. This package is what transforms accounting data into business intelligence.
